From legacy systems to cloud-based innovation

Prior to Cloudbeds, Bay View Collection relied on a well known legacy system for nearly two decades. However, as their needs evolved, they sought a more modern, cloud-based solution. “We decided to shop for a new system that was more up-to-date,” Matthew explains.

The integration of Whistle, a guest messaging platform, and Cloudbeds, sealed the deal. “Because we really liked Whistle and they were aligned with Cloudbeds, we took a harder look at Cloudbeds and felt like that was the right fit.”

Streamlined operations and a better guest experience

Cloudbeds has significantly streamlined Bay View Collection’s operations. The integrated channel manager has simplified rate and inventory management across multiple OTAs, including Expedia, Booking.com, and Airbnb. The night audit process, once a manual and time-consuming task, is now automated. 

“The check-in/checkout process has been streamlined,” Matthew notes. “The night audit process has been eliminated. I mean, there’s no traditional night audit anymore.”

Most impressive is Cloudbeds’ powerful guest experience functionality and integrations. “We love Whistle for Cloudbeds,” Matthew emphasizes. “It’s been a game-changer for us on how we communicate and interact with our guests, and they seem to prefer that natural way of interacting through text.”

Further enhancing guest experience is the integration with Think Simplicity — a cloud based PBX/Communications solution for hotels that enables seamless room updates and personalized guest interactions, and Gift Up — a reliable solution for providing gift cards.

Multi-property mastery

Managing four distinct properties requires a robust multi-property system. Cloudbeds’ functionality has enabled Bay View Collection to efficiently cross-sell and manage inventory across all locations. “It’s definitely critical in our operation to have access to all properties simultaneously,” Matthew confirms.

Overall, Matthew would recommend Cloudbeds to similar-sized properties, acknowledging its dependability, customer service, and the company’s dedication to its product. “Cloudbeds listens and cares,” he explains, “and everyone who I’ve met, whether in person or by Zoom, is loyal to the product and always wants to make it better.”
